How to Upload Content for Your Play1 Media Project

How to Submit Content for Your Media Guide or Team Yearbook

At Play1 Media, our goal is to make it easy for schools and booster volunteers to create beautiful, professional-quality media guides and team yearbooks. Whether your publication is for fundraising, celebrating athletes, or telling the story of your season, staying organized is key.

Below is a step-by-step guide to help you submit your content efficiently and confidently—even if multiple people are contributing.


📂 Step 1: Use a Shared Folder to Organize Content

We provide every school with a shared folder in Google Drive or Dropbox. If you want to start your own, simply copy out the examples below and share it with rosalie@play1.io 

This folder includes:
  • A Page Layout Document that maps out what goes on each page

  • Subfolders labeled by page number or section to upload matching content

This document outlines what content belongs on each page. Customize it for your project and use it to coordinate with your team. After customizing the page layout document, you can then adjust your folder structure and submit content there.

✉️ Step 2: Submit Content by Upload or Email

Option 1: Upload to the Shared Folder
Organize your files into the matching folders based on the page layout.

Option 2: Email Submissions
If uploading is difficult, you can email content directly to your Play1 contact (usually rosalie@play1.io). Just reference the page number or section name in the email so we can organize it properly for you.

We’ll update the folder and layout document on your behalf.


📣 Step 3: Let Us Know When Content Is Complete

Once you’ve uploaded or emailed everything you want included, just send us a message to confirm. We’ll then build your proof within 48 business hours.


📝 Step 4: Review the Proof and Request Changes

You'll receive a link to review your full draft. You can:

  • Comment directly on the file (Google Docs or PDF)

  • Or email your change requests in a list

We'll revise and send back a final version for approval.


🖨️ Step 5: Approve for Print

Once approved, we’ll send your project to print and notify you with shipping and tracking information.

You don’t need to include everything—but here are examples of the most commonly submitted items that make a strong, memorable publication:

Team & Season Information

  • Team rosters (Varsity, JV, Freshmen)

  • Team photos (formal & candid)

  • Game schedule for all team levels

  • Last season results or highlights

  • This season’s top performers or records

  • Hall of Fame or alumni spotlights

  • Great moments of the year

  • Off-season training highlights

Coach & Staff Content

  • Head coach and assistant bios

  • Coach messages or letters

  • Staff or volunteer recognition

Student Features

  • Player headshots with name/jersey/position

  • Senior spotlights or player bios

  • Team captains

  • Player superlatives or awards

Community & School Involvement

  • Cheer, band, and spirit squad

  • Student organizations or clubs

  • School administration letters

  • Community service or outreach highlights

Fun Extras

  • Action shots and game-day photos

  • Candid team moments

  • Quotes, memories, or advice for younger players

  • Advertisements and sponsor messages

  • Keep file names clear and labeled (e.g., VarsityRoster2025.jpg, Coach_Thompson_Bio.docx)

  • Don’t worry if you’re missing a few pieces—we’ll help make it look polished

  • You don’t need to log in to any software—just use the folder link or send by email
